Executive Roles

Presented here is an outline of current executive roles. If you wish to see a full description of roles in our constitution, please contact one of the RHA Executives by email.

RHA President

  • Represent the RHA to UBC Student Housing and Hospitality Services, the AMS and other external UBC associations, and any organizations outside of UBC.
  • Provide the cabinet with updates from relevant meetings attended and forward feedback when appropriate.
  • Provide leadership to support the overall goals and purpose of the RHA as well as facilitate the planning of any initiatives carried out by the RHA.
  • Act as chair and prepare the weekly meeting agenda for both the RHA Council Meetings and the RHA Executive Meetings.
  • Work with the Executive Cabinet and RHA Advisor to train the newly elected Area Presidents in April as well as Council Training in August.
  • Conduct one-on-ones with the Area Presidents at least once per semester, with additional one-on-ones at request.
  • Coordinate with the Executive Board and RHA Advisor to plan and execute annual Council Training.
  • Hold co-signing authority over the RHA bank account.
  • Communicate with the PACURH Presidential Resource Coordinator and attend PACURH Presidential Chats.
  • Represent the UBC RHA in the Presidents’ Boardroom at the NACURH National Leadership Conference, PACURH Regional Leadership Conference and the PACURH  Regional Business Conference.
  • Support Executive Board with their duties wherever necessary
  • Attend weekly one-on-ones with the RHA Advisor.
  • Train the newly elected RHA President in the President role and act as a mentor.
  • Uphold all agreements found within the Memorandum made with UBC Student Housing and Hospitality Services.
  • The RHA President will be required to live on campus a large majority of the summer term of their presidency. They will be residing in a year-round contract.

RHA National Communications Coordinator (NCC)

  • Correspond with PACURH and NACURH regularly, including attendance at PACURH Regional and Sub-Regional Chats, and subscription to the PACURH Listserv.
  • Act as an information link and liaison between PACURH and NACURH, and the UBC RHA.
  • Ensure all PACURH and NACURH affiliation documents, including NRHH affiliate documents, are submitted to the NACURH Information Centre (NIC) in a timely manner.
  • Coordinate the selection of the council members that will attend external conferences, as well as lead the UBC RHA delegations that attend the NACURH, PACURH Regional Leadership Conference (RLC) and PACURH Regional Business Conference (RBC).
  • Represent the UBC RHA as a voting member in the NCC Boardroom at the NACURH, PACURH RLC and PACURH RBC.
  • Prepare any necessary documentation needed to attend external conferences including registration for the NACURH, PACURH RLC and PACURH RBC.
  • Coordinate bid preparation in collaboration with the NRHH President and submit all bid intents, pre-bids and final bid submissions for the PACURH RLC and PACURH RBC, as well as take the primary lead on at least one bid.
  • Sit on a minimum of one PACURH or one NACURH committee.
  • Support Executive Board with their duties wherever necessary.
  • Coordinate with VPIA and VPEM on executing an initiative before reading week, to share information from PACURH Regional LC for all of RHA council members.
  • Train the newly elected NCC in the NCC role and act as a mentor.
  • Uphold all agreements found within the Memorandum made with UBC Student Housing and Hospitality Services.
  • Communicate with the Northern Regional Communications Coordinator regarding the status of UBC Residence, as well as preparation for external conferences.

RHA VP Administration & Finance (VPAF)

  • To chair RHA meetings when the President is unable.
  • Prepare, file, send meeting minutes to the executive cabinet and Residence Life Managers within 72 hours of every meeting.
  • Manage and keep current versions of all RHA documents including the RHA Constitution, RHA Policy Book, Area Constitutions on the RHA’s Hard Drive.
  • Conduct annual constitutional review in consultation with the Executive Cabinet and RHA Advisor.
  • Prepare the annual RHA Budget in consultation with the Executive Cabinet and the RHA Advisor for approval by the Executive Board, as well as propose any necessary amendments to the RHA budget throughout the year.
  • Hold co-signing authority over the RHA bank account.
  • Keep track of all transactions made from the RHA bank account as per the standards set out by the Senior Financial Manager of UBC Student Housing and Hospitality Services.
  • Complete all post-event financial documentation for RHA expenditures.
  • Prepare invoices to all the Area Councils for Council Training, NACURH and PACURH Conferences and other relevant RHA-wide initiatives.
  • Make all deposits to the RHA bank account and process all reimbursements from the RHA bank account.
  • Submit the RHA books as per the Memorandum made with UBC Student Housing and Hospitality Services.
  • Support Executive Board with their duties wherever necessary.
  • Support Area Treasurers in preparing the area budgets, bookkeeping, the year-end submission of books and any other treasury specific duties.
  • Conduct one-on-ones with the Area Treasurers at least twice per semester.
  • Train the newly elected VPAF in the role and act as a mentor.
  • Uphold all other agreements found within the Memorandum made with UBC Student Housing and Hospitality Services.

RHA VP Internal & Advocacy (VPIA)

  • To represent the RHA to external organizations in the event that the President and Vice-President External & Marketing are unable to.
  • Support the Area Councils in coordinating their elections process.
  • Facilitate the process for collecting nominations and selecting the winners of any RHA awards.
  • Encourage facilitation of collaborations between the various Residence Associations in the RHA.
  • Support Area Presidents in the creation and facilitation of mini training, for both Floor Representatives in first year residences and newly elected council members in suite-style residences.
  • Encourage facilitation of Collaborative Council Events (CCE).
  • Support and encourage RHA advocacy initiatives.
  • To plan and host at least one RHA-wide advocacy initiative.
  • Oversee recognition initiatives of area councils.
  • To train and mentor the Vice-President Internal in first year residences and the Vice-President in upper year residences, throughout the year with periodic one on one meetings each term.
  • To plan a minimum of one RHA wide social each term.
  • To plan a minimum of one RHA cabinet social each term.
  • To plan a minimum of one social for the RHA Executives per term.
  • To collect the meeting minutes from each residence association under the RHA through the Vice-President Internals and Vice-Presidents.
  • To write the RHA Cabinet meeting minutes.
  • Facilitate mentorship within the RHA between experienced and newly-elected members.
  • Support the Executive Board with their duties wherever necessary.
  • Train the newly elected VPIA in the role and act as a mentor.
  • Uphold all agreements found within the Memorandum made with UBC Student Housing and Community Services.
  • To ensure that the RHA policy book is followed by all members of the RHA.

RHA VP External & Marketing (VPEM)

  • To represent the RHA to external organizations in the event that the President is unable.
  • Act as the overall administrator of the website as well as any social media held under the UBC RHA name.
  • Support the Area Councils in coordinating their elections process.
  • Facilitate mentorship within the RHA between experienced and newly-elected members.
  • Encourage facilitation of Collaborative Council Events (CCE).
  • Organize an event that takes place during the second semester which aims to increase retention and educate RHA members on the opportunities available to them within the organization for the upcoming year.
  • Support Area Presidents in the creation and facilitation of mini training, for both Floor Representatives in first year residences and newly elected council.
  • Facilitate mentorship within the RHA between experienced and newly-elected members.
  • To conduct a yearly review of the RHA marketing policy over the summer.
  • To create a marketing plan for how the marketing will be conducted throughout the year.
  • In charge of planning, creating and purchasing any marketing material that is used for promoting the RHA.
  • Facilitates communications with external organizations.
  • Organizes and hosts at least 1 RHA wide event.
  • Updates the RHA website each term to reflect all the changes in membership, policy, constitution, meeting times and to promote events including but not limited to RHA elections.
  • To ensure that the RHA policy book is followed by all members of the RHA.
  • To mentor Area Vice President Externals and Marketing Coordinators throughout the year with at least (1) one on one meetings during each term.
  • Support the Executive Board with their duties wherever necessary.
  • Train the newly elected VPEM in the role and act as a mentor.
  • Uphold all agreements found within the Memorandum made with UBC Student Housing and Community Services.
